Technical Document Controller (Oil & Gas)

ALCHEMY is hiring an experienced Technical Document Controller to join our Oil & Gas project team in Abu Dhabi.

The ideal candidate will have strong hands-on experience in FEED and EPC projects, with proven expertise in managing technical documentation, contracts, and project correspondence within the Oil & Gas sector.

Key Responsibilities

  • Coordinate and correspond with all project contractors, consultants, and internal stakeholders.
  • Receive, review, track, distribute, and archive all technical documents, drawings, and correspondence in line with project requirements.
  • Follow up on tender, contract drawings, and document submissions to ensure timely compliance with project schedules.
  • Compile, maintain, and manage physical and electronic records, reports, and documents, including auditable financial records.
  • Prepare and manage project-related correspondence, transmittals, logs, and registers.
  • Monitor project progress documentation and ensure submission of required drawings, material submittals, and approvals.
  • Coordinate with offshore and site-based project teams to ensure document alignment and accuracy.
  • Prepare final tender documentation and assist in the preparation of contract documents and work orders.
  • Ensure accurate submission of data for periodic project and management reports.
  • Monitor budget-related documentation, track expenses, and assist in project budget forecasting activities.
  • Review tender documents (excluding scope of work) and assist in material requests and contractor meetings.
  • Prepare Minutes of Meetings (MOMs) and ensure implementation of instructions from senior management.
  • Support departmental operations by maintaining quality standards and documentation procedures.
  • Assist in annual budget forecasting, year-end financial closing, and asset capitalization reporting.

Qualifications

  • Bachelor’s Degree in Engineering, Business Administration, or a related discipline.
  • Formal training or certification in Document Control or Project Management is an advantage.

Experience Requirements

  • Minimum 5+ years of experience in the Oil & Gas industry.
  • Proven experience as a Technical Document Controller / Technical Clerk.
  • Strong exposure to FEED and EPC projects is mandatory.
  • Experience working with contractors, consultants, and multi-disciplinary project teams.

Required Skills

  • Strong knowledge of document control systems, procedures, and workflows.
  • Proficiency in MS Office (Excel, Word, Outlook) and document management systems (DMS).
  • Excellent organizational and record-management skills.
  • Ability to manage large volumes of technical documents with accuracy and confidentiality.
  • Strong written and verbal communication skills.
  • Good understanding of contract documentation and project controls.
