KEO is seeking a competent and organized Senior Document Controller to support the Global Marketing team in Dubai. The role requires managing marketing documents, ensuring accurate version control, supporting events and administrative operations, and maintaining efficient communication across departments.
The ideal candidate will be detail-oriented, proactive, and able to manage high-volume document workflows in a fast-paced environment.
Key Responsibilities
Document Control & Records Management
- Manage, maintain, and organize all marketing documents in accordance with KEO’s document control standards.
- Ensure accurate version control, secure storage, proper labeling, and timely retrieval of documents.
- Track, archive, and maintain records of marketing materials including project sheets, proposals, presentations, and branding assets.
- Support internal audits through accurate documentation and compliance with document control procedures.
Administrative & Team Support
- Provide daily administrative assistance to the Marketing Manager and team, including document formatting, proofreading, scheduling, and workflow coordination.
- Manage calendars, arrange meetings, prepare agendas, and coordinate communications.
- Serve as the main point of contact for internal document requests and ensure smooth information flow across departments.
Event & Logistics Support
- Support event planning and coordination, including logistics, documentation, vendor communication, booking arrangements, and maintaining event files.
- Maintain accurate records of event budgets, materials, feedback, and attendance where required.
Procurement & Financial Coordination
- Process invoices, purchase orders, and vendor documentation.
- Track financial transactions, ensure timely follow-ups, and coordinate with Finance and Procurement teams for approvals.
Team Collaboration & Process Improvement
- Propose improvements to document control processes to enhance efficiency.
- Promote teamwork and contribute to maintaining a productive, collaborative environment.
- Use initiative to resolve complex issues and provide practical solutions for document-related challenges.
Requirements
- Minimum 1 year of relevant experience in document control or administrative support.
- Experience in engineering, consultancy, architecture, or marketing environments is an advantage.
- Strong technical understanding of document control systems, workflows, and organizational processes.
- Familiarity with project documentation, version control systems, archiving procedures, and audit compliance.
Qualifications
- Degree or Diploma in Business Administration, Office Management, or another related field.
- Training or certification in document control systems is an added advantage.
