Electrostar Cool Electromechanical Contracting (ECEC), a leading electromechanical contracting company in the UAE, is seeking a dedicated, highly organized, and professional Secretary to join our Abu Dhabi office. This role is ideal for candidates who are proactive, detail-oriented, and eager to support senior management in a fast-paced construction and contracting environment.

Key Responsibilities:

As a Secretary at ECEC, you will play a vital role in ensuring smooth office operations and providing administrative support to the management team. Your responsibilities will include:

1. Administrative Support:

  • Manage daily office operations and administrative tasks efficiently.
  • Maintain and organize office files, records, and correspondence.
  • Draft, format, and proofread letters, memos, emails, and reports.

2.Communication Management:

  • Handle incoming and outgoing calls professionally.
  • Manage company emails and respond or redirect queries appropriately.
  • Serve as a liaison between management, staff, and external stakeholders.

3.Meeting & Event Coordination:

  • Schedule and coordinate meetings, appointments, and conference calls.
  • Prepare meeting agendas, presentations, and minutes when required.
  • Assist in organizing company events, trainings, and workshops.

4.Document & Record Management:

  • Maintain accurate and up-to-date office records, reports, and databases.
  • Ensure proper filing systems for easy access and retrieval of information.
  • Track and follow up on important deadlines and documentation.

5.Support for Management:

  • Assist senior management in day-to-day administrative tasks.
  • Coordinate with different departments to ensure timely completion of tasks.
  • Handle confidential information with discretion and professionalism.

Requirements & Qualifications:

1.Educational Qualification:

  • Bachelor’s degree or diploma in Business Administration, Office Management, or a related field.

2.Experience:

  • Minimum 2 years of experience as a Secretary, Personal Assistant, or Administrative Executive, preferably in the contracting or construction industry.

3.Technical Skills:

  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with office management software is an advantage.

4.Professional Skills:

  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Ability to work independently and prioritize tasks effectively.
