Document Controller (ASITE)

Parsons is looking for an exceptionally talented Document Controller to join our dynamic team. The ideal candidate will support project documentation workflows, ensure accuracy, and maintain compliance with established document control standards. Key Responsibilities

  • Coordinate the flow of documents between project operations, engineering teams, construction teams, and various departments.
  • Manage documentation for small-sized projects and ensure adherence to project-specific procedures.
  • Process multiple document types through established workflows, from creation to final approval and release.
  • Ensure all document control requirements are met (document numbering, approval signatures, revision control, etc.).
  • Maintain compliance with internal standards, project requirements, and client documentation protocols.
  • Receive, track, and monitor documents using standard document management programs.
  • Maintain and update databases, logs, transmittals, and registers.
  • Produce reports, document status sheets, and project documentation summaries.
  • Scan documents and ensure proper electronic filing and storage.
  • Maintain the project’s document distribution system according to schedule and stakeholder requirements.
  • Expedite document reviews, approvals, and releases for supplier and internal documents.
  • Support junior document controllers and ensure consistency across the team.
  • Perform light clerical tasks such as typing, filing, and general office duties as needed.
  • Work collaboratively with multidisciplinary project teams.
  • Contribute as a proactive, deadline-driven team member with strong interpersonal skills.

Qualifications

  • Bachelor’s Degree or Diploma in a relevant discipline.
  • Minimum 5 years of experience in document control, preferably within engineering design or consulting environments.

Skills & Competencies

  • Proficient use of MS Windows, MS Office (Word, Excel, PowerPoint), and database applications.
  • Working knowledge of ASITE document management system (mandatory).
  • Strong document control workflow understanding, including document numbering, coding, and revision procedures.
  • Strong keyboard and data-entry skills.
  • Ability to maintain accurate records and manage large volumes of documents.
  • Strong reporting and documentation skills.
  • Excellent written and verbal communication abilities.
  • Strong organizational and time-management skills.
  • Ability to coordinate with multidisciplinary teams and stakeholders.
  • High attention to detail and ability to work under pressure.
  • Strong interpersonal skills and ability to support team members.
