Purchasing Executive / Assistant

Al Aabdi Holding L.L.C is seeking a dedicated and detail-oriented Purchasing Executive / Assistant to support the company’s procurement, vendor management, and supply chain functions. This role is essential to ensuring timely purchasing operations, accurate inventory levels, and reliable supplier relationships within the foodservice sector.

Position Overview

The Purchasing Executive / Assistant will oversee daily procurement activities, support sourcing strategies, and collaborate closely with internal departments to ensure the smooth flow of materials and supplies. The ideal candidate should be organized, analytical, and experienced in purchasing within the food industry.

Key Responsibilities

Procurement & Purchasing Operations

  • Handle local and international purchasing processes for food and related materials.
  • Create, issue, and follow up on purchase orders to ensure timely delivery.
  • Verify product specifications, pricing, and delivery terms with suppliers.
  • Monitor order status, resolve delivery issues, and maintain purchasing schedules.

Supplier & Vendor Management

  • Identify, evaluate, and select vendors based on quality, pricing, and service.
  • Maintain professional communication and long-term relationships with suppliers.
  • Conduct supplier performance assessments and negotiate cost-effective terms.
  • Obtain quotations, compare offers, and support cost-saving initiatives.

Inventory & Coordination

  • Collaborate with inventory teams to maintain optimal stock levels.
  • Coordinate with supply chain, warehouse, and operational departments.
  • Ensure accurate documentation of material movements and procurement records.
  • Assist with demand forecasting and replenishment planning.

Administrative & Reporting Duties

  • Maintain updated procurement databases, supplier files, and pricing logs.
  • Prepare purchasing reports, market comparison summaries, and cost analyses.
  • Ensure compliance with company policies and procurement guidelines.

Requirements

  • Proven experience in local and international purchasing, preferably in the food industry.
  • Knowledge of procurement workflows, supply chain processes, and vendor management.
  • Familiarity with ERP systems or procurement software (advantageous).
  • Ability to handle multiple purchasing tasks in a fast-paced environment.

Educational Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field (preferred but not mandatory).
  • Professional certifications in procurement (e.g., CIPS, CPSM) are an added advantage.
