Electrostar Cool Electromechanical Contracting (ECEC), a leading electromechanical contracting company in the UAE, is seeking a dedicated, highly organized, and professional Secretary to join our Abu Dhabi office. Key Responsibilities:
As a Secretary at ECEC, you will play a vital role in ensuring smooth office operations and providing administrative support to the management team. Your responsibilities will include:
1. Administrative Support:
- Manage daily office operations and administrative tasks efficiently.
- Maintain and organize office files, records, and correspondence.
- Draft, format, and proofread letters, memos, emails, and reports.
2.Communication Management:
- Handle incoming and outgoing calls professionally.
- Manage company emails and respond or redirect queries appropriately.
- Serve as a liaison between management, staff, and external stakeholders.
3.Meeting & Event Coordination:
- Schedule and coordinate meetings, appointments, and conference calls.
- Prepare meeting agendas, presentations, and minutes when required.
- Assist in organizing company events, trainings, and workshops.
4.Document & Record Management:
- Maintain accurate and up-to-date office records, reports, and databases.
- Ensure proper filing systems for easy access and retrieval of information.
- Track and follow up on important deadlines and documentation.
5.Support for Management:
- Assist senior management in day-to-day administrative tasks.
- Coordinate with different departments to ensure timely completion of tasks.
- Handle confidential information with discretion and professionalism.
Requirements & Qualifications:
1.Educational Qualification:
- Bachelor’s degree or diploma in Business Administration, Office Management, or a related field.
2.Experience:
- Minimum 2 years of experience as a Secretary, Personal Assistant, or Administrative Executive, preferably in the contracting or construction industry.
3.Technical Skills:
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management software is an advantage.
4.Professional Skills:
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time management abilities.
- Ability to work independently and prioritize tasks effectively.
